We take great care to safeguard personal data provided by our visitors and to process this data fairly and lawfully in accordance with the Data Protection Act 2018 and the General Data Protection Regulations (GDPR) which came into force at the end of May 2018.
When will I need to provide my details?
We may collect personal information (for example your name, your postal address, your email address, your date of birth, or your telephone number) from you when you:
• Sign up for one of our email newsletters (eg. ‘John’s Journey)
• Register interest in our services or download a free book
• Make a booking for one of our services (eg. Fill out a contact form)
• Sign up to any login area on our website (we don’t have any as yet)
• Order materials from us
• Get involved with us in any other way (eg. You fill out a contact form to commission a story or discuss a project with John)
Why do you need my details and how do you use them?
The main reason we need your personal details is so that we are able to communicate with you and keep you informed about any offers or news you may be interested in or projects you have commissioned with John.
We will only contact you if you tell us that you are happy for us to do so (this is ‘opting-in’), usually when you fill in one of our forms on our website. When you sign up you will be able to specify the services and areas of our business you are interested in.
What if I don’t want you to use my details anymore?
If you ever change your mind about whether you want to hear from us then you can always amend your preferences by emailing us direct at
johnallenwriterbackup [at] gmail.com
Why do you ask for information about my interest in your news and offers?
Sometimes we may ask you what your link is to writing, fiction and fantasy. For example, if you want to find out more about what John’s working on, talk to him about a story or discuss a book or project. We ask for this information so that we can understand more about you and what you want from your visit to John’s site. It can help us to provide you with the information, news or services that will help you and/or your organisation. If you are happy for us to keep this information we will treat it with strict confidence. If you do not want us to have this information you do not need to supply it.
How do you keep my information secure?
We will take precautions to prevent the loss, misuse or unauthorised alteration of personal information you give us. For example, our website stores your information through encryption and we will only retain this information for the purposes of contacting you about a service you have expressed interest in. When you enter your email details via one of our opt in forms (eg. John’s Journey) your data is shared with only one 3rd Party email service provider – ‘Mailchimp’. Mailchimp data is fully encrypted and compliant with all data protection regulations (including GDPR in Europe). You can view their privacy policies here – https://mailchimp.com/legal/privacy/
We regularly review our records and will retain your data for a period of up to 5 years. After that time we will contact you asking if you still wish us to retain your contact information. If we do not hear from you, your information will be deleted from our website and any associated 3rd party database. Cookie data tracking is stored up to a maximum of 26 months.
We may send communications to you by email (usually via automation using ‘Mailchimp’). Please be aware that E-mail is not a fully secure means of communication, and whilst we do our utmost to keep our own systems and communications protected we cannot guarantee anything. All we can guarantee is that we do our utmost to comply with all law and regulation.
Do you pass my details on to any other organisations or individuals?
Any information you provide is us is held in strictest confidence. We will never sell your data to another organisation. If we ever need to send data to a third party working on our behalf (e.g. Mailchimp or other mailing house), we will make sure the company we use has signed a data processing agreement with us, so that they are bound to take care of your data in the same way we do.
